Terms of Service

Effective date: October 8, 2026 · Last updated: October 12, 2026

These Terms of Service (“Terms”) govern your use of the websites, software, apps, hosting and other services offered by Cao-Tech LLC, a New Hampshire limited liability company (“Cao-Tech,” “CAO-TECH,” “we,” “us” or “our”). By buying, subscribing to or using any of our services, you agree to these Terms. If you use them for an organization, you confirm that you are authorized to accept these Terms for it.

1. What these Terms cover

These Terms apply to everything Cao-Tech LLC provides, including:

  • Websites: cao-tech.com and its customer portals.
  • Managed WordPress hosting: including Basic WordPress Hosting, Performance WordPress Hosting and Enterprise WordPress Hosting (custom quote).
  • Software and apps: including CaoDesk (the WordPress plugin and the Mac, iPhone and iPad apps), GhostPilot, and our other WordPress plugins.
  • Ahena: at ahena.io (see section 9).
  • Custom work: design, development and support projects.

Some services have additional terms, such as a signed proposal, statement of work or product-specific terms. If they conflict with these Terms, the additional terms apply to that service.

2. Accounts

You are responsible for the accuracy of your account information, for keeping your passwords, license keys and pairing codes confidential, and for everything done under your account. Tell us promptly at info@cao-tech.com if you believe your account has been compromised.

3. Subscriptions, billing and cancellation

  • Prices. Prices, billing intervals and what each plan includes are shown when you subscribe. Prices are in US dollars and do not include taxes, which you are responsible for.
  • Payment. Online purchases are processed by our payment processor, Stripe. By subscribing, you authorize us and Stripe to charge your payment method for the plan you choose, including any per-seat or per-agent quantity, plus applicable taxes.
  • Automatic renewal. Unless stated otherwise, subscriptions renew automatically at the end of each billing period, monthly or yearly as you chose, until canceled.
  • Yearly plans. Where a plan offers yearly billing, the full year is charged in advance at the yearly price shown when you subscribe. Anything included “per month”, such as support time, is still provided each month of the year and does not carry over. We email you a reminder before each yearly renewal.
  • Free trials. If a plan includes a free trial, you will not be charged until the trial ends. Cancel before then to avoid the first charge.
  • Cancellation. You can change or cancel a subscription anytime from My Account → Manage Subscription, or by contacting us. Cancellation takes effect at the end of the current billing period (the paid month, or the paid year on a yearly plan) and stops future charges. The service continues until then.
  • Refunds. Amounts already paid, including the unused part of a yearly plan, are not refunded, except where required by law or where we state otherwise in writing.
  • Price changes. We may change prices with advance notice. Changes apply from your next billing period.
  • Failed payments. If a payment fails, we may pause or suspend the affected service until payment is made.

4. Software licenses

When you subscribe to one of our software products, we grant you a limited, non-exclusive, non-transferable license to use it during your subscription, within the limits of your plan (for example, the number of websites or agents). You may not resell, sublicense, reverse engineer except where the law allows, or remove license checks from our software.

CaoDesk licenses are available to businesses and organizations, for use by their own support staff. Each agent seat is for one person; you can add or remove seats from your account. Your customers do not need a license to use your support portal. The CaoDesk apps are free on the App Store; they work with a CaoDesk license managed in your website’s WordPress admin, and no purchases are made in the apps.

GhostPilot plans may include a capped monthly allowance of AI usage, or let you use your own AI provider key. AI output can be wrong or incomplete: review content before you publish it.

When your subscription ends, the license stops working. Features that serve your own customers, such as the CaoDesk customer portal, may keep working without a license.

5. Managed WordPress hosting

  • Service. We host, secure and update the WordPress website you subscribe for. Any support time included in your plan is per month, on monthly and yearly plans alike, and does not carry over. Other work, such as redesigns, new features or content changes, is quoted separately.
  • Uptime. We aim for your website to be available 99.5% of the time each month. This excludes scheduled maintenance, emergency security work, and outages caused by third parties outside our control. If availability falls below 99.5% in a month, tell us within 30 days and we will credit the affected period toward your next invoice (on a yearly plan, toward your next renewal, or as a refund of that period if you prefer).
  • Support. Hosting support is available by email and phone, Monday to Friday, 9:00 a.m. to 7:00 p.m. Eastern Time. We address reported problems with commercially reasonable efforts.
  • Your responsibilities. You are responsible for your website’s content and for using the hosting lawfully and reasonably. Don’t exceed your plan’s resources, resell the hosting, or keep content that puts our servers or other customers at risk.
  • Leaving. If you cancel, we will provide a copy of your website files and database on request, and reasonable help moving it to another provider.

6. Acceptable use

You may not use our services to:

  • break the law or infringe anyone’s rights;
  • send spam;
  • distribute malware;
  • attempt unauthorized access to systems or data;
  • harass people;
  • interfere with our services or other customers.

We may suspend a service that is being used in a way that puts our systems, our other customers or the public at risk. Where reasonable, we will contact you first.

7. Your content and data

You keep ownership of the content and data you provide, such as your website, support tickets and customer information. You give us the permissions needed to host, process and display it in order to provide the services. You confirm that you have the right to provide it and that it does not violate any law or anyone else’s rights. How we handle personal information is described in our Privacy Policy.

8. Third-party services

Our services rely on third parties such as hosting providers, Stripe, Apple, WordPress, and AI or email providers. Their terms also apply to your use of them, and we are not responsible for their services or outages.

9. Ahena

Ahena (ahena.io) is a Cao-Tech LLC product. Your use of Ahena is governed by the Ahena Terms of Service and the Ahena Privacy Policy, which take precedence over these Terms for Ahena. Charges for Ahena are processed through Cao-Tech LLC’s Stripe account and may appear on your statement as “CAO-TECH.”

10. Intellectual property

Our software, apps, websites, designs and documentation are owned by Cao-Tech LLC and protected by intellectual property laws. Except for the licenses granted in these Terms or in a written agreement, no rights are transferred to you. Custom work is delivered and owned as described in its proposal or statement of work.

11. Disclaimer

Except as expressly stated in these Terms, our services are provided “as is” and “as available,” without warranties of any kind, including implied warranties of merchantability, fitness for a particular purpose and non-infringement. We do not guarantee that the services will be uninterrupted or error-free. Keep your own backups of important content.

12. Limitation of liability

To the maximum extent permitted by law, Cao-Tech LLC and its owners, employees and contractors are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Our total liability for any claim relating to a service is limited to the amount you paid us for that service in the 12 months before the claim.

13. Termination

You may stop using our services at any time. We may suspend or end a service if you materially breach these Terms and do not fix the breach after notice, or immediately where required by law or to prevent harm. Sections that by their nature should continue, such as payment obligations, intellectual property, disclaimers and limitation of liability, survive termination.

14. Governing law

These Terms are governed by the laws of the State of New Hampshire, without regard to conflict-of-law rules. Disputes will be handled in the state or federal courts located in New Hampshire, unless the law requires otherwise. Nothing in these Terms limits rights that cannot legally be waived.

15. Changes

We may update these Terms as our services change. The “Last updated” date shows when. For material changes, we will notify active customers by email or on our website before they take effect. Continuing to use the services after that means you accept the updated Terms.
